Daily / Pre-trip Bus Inspection Checklist - Routine

Essential daily safety inspection to ensure buses are operationally ready and compliant with DOT regulations before passenger service.

DOT COMPLIANCE REQUIREMENT

Federal Motor Carrier Safety Regulations require pre-trip inspections for all commercial vehicles.

• This inspection must be completed by a qualified driver or mechanic before each trip

• Any defects that could affect safety must be corrected before operation

• Documentation is required and must be available for DOT inspection

• Estimated completion time: 10-15 minutes

Safety First: Do not operate the vehicle if any safety-critical items fail inspection. Report all defects immediately to maintenance personnel.

Pre-Inspection Documentation

  • Record driver name, employee ID, and certification status.
  • Note vehicle number, odometer reading, and fuel level.
  • Document inspection date, time, and weather conditions.
  • Record assigned route or service destination.
  • Review previous inspection reports for ongoing issues.
  • Verify driver has valid CDL and medical certification.

Engine Compartment Inspection

  • Check engine oil level and condition - should be within normal range.
  • Inspect coolant level and look for leaks around radiator and hoses.
  • Verify windshield washer fluid level and operation.
  • Check power steering fluid level and inspect for leaks.
  • Inspect belts for proper tension, cracking, or fraying.
  • Look for any visible fluid leaks on ground under vehicle.
  • Check air filter housing and connections for security.
  • Verify DEF (diesel exhaust fluid) level if equipped.

Interior Safety Systems

  • Test horn operation - should produce clear, audible sound.
  • Check all dashboard warning lights during startup sequence.
  • Test windshield wipers and washers on all speed settings.
  • Verify mirrors are clean, properly adjusted, and not cracked.
  • Check driver seat adjustment and operation of seat belt.
  • Test steering wheel for excessive play or binding.
  • Verify parking brake operation and adjustment.
  • Check heater, defroster, and air conditioning operation.

Passenger Safety Equipment

  • Verify fire extinguisher is present, charged, and properly mounted.
  • Check first aid kit is complete, accessible, and not expired.
  • Test emergency exits - doors should open freely and completely.
  • Inspect emergency roof hatches for proper operation.
  • Verify emergency triangles and reflectors are present.
  • Check that safety hammer or window punch is available.
  • Test passenger communication system and stop request signals.
  • Inspect handrails and grab bars for security and cleanliness.

Lighting Systems Check

  • Test headlights on both low and high beam settings.
  • Check tail lights, brake lights, and turn signals function properly.
  • Verify marker lights, clearance lights, and identification lights.
  • Test hazard flashers and ensure all lights flash simultaneously.
  • Check backup alarm and lights (if equipped) operate correctly.
  • Verify interior lighting operates on all circuits.
  • Test destination sign illumination and readability.
  • Inspect all light lenses for cracks, moisture, or damage.

Tires & Wheels Inspection

  • Check tire pressure in all positions including spare tire.
  • Inspect tread depth - minimum 4/32" on steering axle, 2/32" others.
  • Look for cuts, bulges, or unusual wear patterns on tires.
  • Verify all lug nuts are present and properly tightened.
  • Check wheels for cracks, damage, or excessive rust.
  • Inspect valve stems and caps for damage or leaks.
  • Ensure no foreign objects are embedded in tire treads.
  • Verify proper dual wheel spacing and alignment.
Critical: Any tire with cord showing, sidewall damage, or insufficient tread depth requires immediate replacement before operation.

Brake System & Air Pressure

  • Check air pressure gauges read within normal operating range.
  • Perform air leak test - pressure drop should not exceed 3 PSI in 1 minute.
  • Test service brakes for proper pedal feel and stopping power.
  • Check parking brake holds vehicle on grade without rolling.
  • Listen for unusual brake noises during application.
  • Inspect visible brake lines and connections for leaks.
  • Verify low air pressure warning systems activate properly.
  • Test ABS warning light operation during startup.
Critical: Vehicle must not operate if air pressure is below 100 PSI or brakes show any signs of failure.

Exterior Walk-Around Inspection

  • Inspect body panels for damage that could affect passenger safety.
  • Check all doors operate smoothly and lock/unlock properly.
  • Verify door seals are intact and windows are not cracked.
  • Inspect wheelchair lift operation and safety systems (if equipped).
  • Check exhaust system is secure and not leaking into vehicle.
  • Look for any loose, hanging, or damaged components.
  • Verify license plates are clean, visible, and properly mounted.
  • Check fuel tank cap is secure and area is free of leaks.

Suspension & Steering Components

  • Inspect air bags or springs for leaks, cracks, or damage.
  • Check for excessive play in steering linkage components.
  • Look for leaking shock absorbers or struts.
  • Verify suspension height is level and within specifications.
  • Inspect visible suspension bushings and mounting points.
  • Check for any unusual noises during steering operation.
  • Verify proper wheel alignment by checking tire wear patterns.

Final Systems Check

  • Start engine and allow to reach normal operating temperature.
  • Check all gauges read within normal operating parameters.
  • Verify radio and communication equipment operate properly.
  • Test public address system and passenger announcement features.
  • Check destination sign displays correctly for assigned route.
  • Verify passenger counting system operation (if equipped).
  • Complete inspection documentation and sign certification.
  • Report any defects to dispatch and maintenance personnel.

Defect Reporting & Documentation

  • Record all defects found during inspection on vehicle defect report.
  • Classify defects as either "safety-critical" or "maintenance required".
  • Remove vehicle from service if safety-critical defects are found.
  • Complete driver vehicle inspection report (DVIR) as required.
  • Submit copies to dispatch, maintenance, and safety departments.
  • Verify previous defects have been corrected before operation.
  • Sign certification that vehicle is safe for passenger service.
Legal Requirement: Driver signature certifies that either the vehicle is safe for operation or that defects not affecting safety have been noted.
